The role focuses on creating a welcoming environment, managing front-desk operations, and supporting daily administrative tasks to ensure smooth office functioning. Primary Responsibilities
- Greet visitors, manage the reception area, and direct guests to appropriate staff or departments.
- Answer, screen, and forward incoming phone calls, take messages, and respond to routine inquiries.
- Manage daily check-ins, appointment scheduling, and maintain visitor logs.
- Perform basic administrative duties such as filing, data entry, scanning, and preparing documents.
- Maintain office supplies inventory and place orders when necessary.
- Coordinate with security and facilities for smooth entry and exit procedures.
- Support internal teams with ad-hoc tasks including mail handling and simple bookkeeping records as needed.
- Ensure the reception area is clean, organized, and presentable.
- Language: Clear spoken and written communication in Urdu and English.
- Computer: Basic computer literacy: MS Office (Word, Excel), email, data entry, accurate typing.
- Phone Etiquette: Professional answering, transferring calls, and taking concise messages.
- Customer Service: Polite, patient, able to handle basic inquiries and requests.
- Organizational: Maintain visitor logs, manage appointments, keep reception orderly.
- Punctuality & Reliability: Follow schedules and maintain consistent attendance.
- Attention to Detail: Handling documents, filing, and basic record-keeping.
- Multitasking: Ability to manage busy periods calmly and professionally.
