Job Description: Key Responsibilities

  • Dashboard and Data Management
    Update the clients operations dashboard daily. Collect and consolidate data from WhatsApp groups, Trello boards, the STS US portal, email correspondence, and other relevant channels. Ensure all dashboard entries are accurate, current, and reflect latest shipment status.

  • Shipment Tracking
    Maintain and update the master shipment tracking spreadsheet regularly. Source shipment data from Zoho, proforma invoices, and US-based freight forwarders. Flag discrepancies, delays, or missing information to the team immediately.

  • Invoicing and Documentation
    Prepare and generate invoices in Zoho using purchase orders (from Trello) and proforma invoices as reference. Create proforma invoices based on purchase orders and share with management for payment processing. Maintain organized records of all invoices, purchase orders, and related documents.

  • Freight Forwarder Coordination
    Obtain and compare quotations from US-based freight forwarders. Prepare costing sheets and present freight rate options for approval. Coordinate with US forwarders on arrival notices, customs clearance, freight release, and delivery scheduling.
Job Specification: Must have

  • 2+ years experience in logistics, freight forwarding, supply chain, or similar operations role

  • Proficiency in Excel or Google Sheets for tracking, reporting, and data management

  • Experience with Zoho (CRM, Books, or Inventory) or similar business management software

  • Strong written and verbal English communication skills

  • Ability to work independently with minimal supervision and manage multiple tasks

  • Availability to work hours overlapping US Eastern Time (evening shift)

  • Reliable internet connection and professional remote work setup

Preferred

  • Familiarity with Amazon FBA logistics and delivery appointment scheduling

  • Experience coordinating with US customs brokers and freight forwarders

  • Knowledge of Trello or similar project management tools

  • Prior remote work experience with a US-based company

  • Understanding of international shipping documentation (bills of lading, commercial invoices, packing lists)
